๐Ÿ“˜ Project Initiation & Scope of Work

  • All proposals are prepared based on our detailed understanding of your initial brief. Any additions or changes to project scope, including minor feature tweaks, may require a revised quotation.

  • By accepting a quote through email, verbal confirmation, deposit, or written sign-off, you agree to these terms.

  • Clients must ensure that requirements are clearly outlined from the beginning. In cases where direction is unclear, we will proceed based on industry best practices and our experience.

โœ๏ธ Client Expectations

  • Specific functionality, integrations, or design preferences must be communicated before development begins.

  • If requirements change or are expanded mid-project, additional costs and time extensions may apply.

  • If complexity or technical challenges are anticipated, they should be highlighted during the initial consultation.


๐Ÿง  Design, Development & Change Requests

  • Each task within your project comes with a set of dedicated hours. Minor change requests may be accommodated, but significant changes will be reviewed and billed accordingly.

  • Once a design or development stage is approved, rework or modifications will incur extra charges.

  • Development timelines are based on prompt client feedback and cooperation. Any delays in approvals or asset delivery may shift timelines and increase costs.

โณ Project Delays

  • Projects that are inactive for more than 60 calendar days without written notice will be subject to a $99/week administrative fee to maintain continuity.

  • If you wish to officially pause a project, please inform us via email. Work done to date must be settled in full.


๐Ÿ–ฅ๏ธ Cross-Device & Browser Compatibility

  • Veltrix IT Solutions ensures compatibility with the latest versions of Chrome, Firefox, Safari, and Microsoft Edge (desktop).

  • Mobile responsiveness is tested on modern Apple devices (iPhone/iPad).

  • For specific browser/device testing beyond standard coverage, please make a prior request.


๐ŸŒ Hosting, Domains & Server Access

  • Projects hosted on third-party platforms (outside Veltrix) may require additional development hours due to compatibility, server access, or setup limitations.

  • Hosting and domain renewals are not included unless explicitly mentioned in your package.

  • To prevent service disruption, hosting/domain renewals must be paid 7 days before expiration.

โš ๏ธ Server & Security

  • If your site is not hosted with Veltrix IT Solutions, we are not responsible for any server-related issues.

  • Hosting packages provided by us are reliable, secure, and managed through premium third-party data centers.


๐Ÿงพ Source Code, Licensing & CMS

  • All development work including backend code, databases, and proprietary CMS remains the intellectual property of Veltrix IT Solutions.

  • Upon full payment and as per agreement, a non-exclusive license is granted for usage.

  • Our custom CMS is non-transferable and cannot be migrated to external hosting environments.

Source code access is only provided when explicitly agreed and paid for in full.


๐Ÿ’ก Third-Party Tools & Integration Costs

  • Fees related to third-party platforms, plugins, licenses, APIs, SSL certificates, or payment gateways are not included in the base quote unless stated.

  • While we strive to recommend reliable tools, we are not responsible for any limitations or policy changes from third-party vendors.


๐Ÿ“Š Marketing, SEO & Digital Packages

  • Digital marketing/strategy packages (SEO, PPC, Content Marketing, etc.) require a minimum 6-month engagement.

  • Monthly billing starts on the 1st of every month. Any unused hours do not roll over.

  • Urgent or extra tasks are chargeable at agreed hourly rates.

  • Cancellation post-6 months requires 30 daysโ€™ notice via email.


๐Ÿ” Maintenance & Support Terms

  • Minimum contract duration: 12 months, billed monthly.

  • Maintenance includes regular CMS updates, plugin checks, site backups, and minor tweaks.

  • Advanced features or redesign work is not included.

  • Support time is tracked in 15-minute blocks. Extra time is billed at $77/hour (incl. GST).

To cancel your maintenance package, a one-month prior written notice is required. Early termination requires paying the balance of the contract term.


๐Ÿ’ณ Payment Policy & Refund Terms

  • All fees are quoted in AUD (inclusive of GST where applicable).

  • Invoices must be paid on or before the due date. Late payments incur:

    • 10% late fee

    • $5.50/month administration charge

  • Payments are required before deployment or handover of any deliverables.

  • Payment via Stripe may attract a small transaction fee.

๐Ÿ’ธ Refund Policy

  • 75% refund for cancellations made before work begins.

  • Up to 50% refund if canceled after work has started.

  • No refund if more than 50% of work is completed.

  • All cancellations must be made in writing (email only).


๐Ÿ” Data, Security & Liability

  • Veltrix IT Solutions implements best-in-class security protocols but is not liable for issues arising from outdated client-side plugins, third-party software, or hacks.

  • Clients are responsible for maintaining security, backups, and updates on their hosting/server (if self-hosted).

  • Our services are provided "as-is." We cannot be held responsible for any financial, reputational, or operational damages.


๐Ÿงพ Communication & Correspondence

  • All official communication must be via email.

  • Clients are expected to provide up-to-date contact details and be responsive to project inquiries.

  • Project progress, milestone updates, and support issues are handled promptly via our project managers and support team.

๐Ÿ“‚ Hosting, Domains & Email Policy

  • Hosting is billed annually and must be paid in advance unless covered under a maintenance contract.

  • Hosting services not renewed on time may be suspended or deleted.

  • All domain registrations must be renewed before the expiration date to avoid loss of service or ownership.

๐Ÿ“จ Email Hosting

  • Client emails should be regularly downloaded to local systems.

  • Misuse, spamming, or excessive storage can result in account restrictions or deletion.


๐Ÿ’ก Intellectual Property & Brand Usage

  • All code, content, and visuals created by Veltrix IT Solutions are our intellectual property unless otherwise transferred in writing.

  • Clients may not resell, redistribute, or replicate our work.

  • Usage of the Veltrix IT Solutions name, branding, or logos requires written permission.
